The HR Associate provides administrative and operational support to ensure the effective and efficient functioning of the Human Resources Department. This role supports compliance, employee record maintenance, onboarding activities, testing programs, payroll assistance, and vendor coordination while maintaining strict confidentiality.

Job Duties and Responsibilities
- Processes employment-related changes including transfers, job classification updates, compensation changes, and status updates.
- Administers I-9 compliance processes, including verifying documentation, maintaining I-9 files, conducting periodic audits, and staying current on federal requirements.
- Maintains accurate, confidential employee records within the HRIS and SharePoint systems, ensuring data integrity, completeness, and security.
- Monitors and maintains Motor Vehicle Records (MVRs) for designated positions requiring driving responsibilities, ensuring timely renewals and compliance with company standards.
- Conducts or supports new hire orientation and onboarding activities.
- Serves as a point of contact for routine employee and applicant inquiries regarding policies, benefits, and hiring processes, escalates complex matters appropriately.
- Manages employee testing programs including DISA, ASAP, OSCA, background screenings, and other required compliance testing.
- Schedules meetings, organizes appointments, prepares correspondence, and records meeting minutes as required.
- Assists in planning and executing company programs and events such as wellness initiatives, open enrollment, organization-wide meetings, recognition events, and other employee engagement activities.
- Performs general administrative support duties including document preparation, filing, scanning, mailing, and phone coverage.
- Maintains the confidentiality and integrity of all employee and departmental records.
- Performs other duties as assigned.
Skills
- Strong verbal and written communication skills.
- High level of professionalism and discretion when handling confidential information.
- Excellent organizational skills and strong attention to detail.
- Ability to manage multiple priorities in a fast-pased environment.
- Proficient with Microsoft Office Suite (Outlook, Word, SharePoint, Excel, and PowerPoint).
- Ability to learn and navigate HRIS, and other compliance platforms.
- Bilingual (Spanish Speaking) required.
- Required: Associate's degree in Business Management, Human Resources, Psychology, or other related field.
- Preferred: Bachelor's degree in Business Management, Human Resources, Psychology, or other related field.
- Required: Previous experience working or volunteering in an office setting with a need to maintain confidentiality.
- Preferred: Up to 1 year of HR experience, including internships, co-ops, or part-time role.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times
