Job Summary
The Quotations Specialist is responsible for preparing accurate and timely customer quotations in support of the Sales Department. This role serves as a key point of coordination between Sales, Operations, and Production to ensure pricing, product specifications, and delivery requirements are aligned with company standards. The Quotations Specialist supports the sales process by ensuring all quote-related activities are executed efficiently, accurately, and in accordance with company guidelines.

Job Duties and Responsibilities
  • Prepare and submit customer quotations via email, customer portal, or other communication channels in accordance with company pricing and approval guidelines.
  • Review customer requirements and specifications, including those related to EPC (Engineering, Procurement, and Construction) projects and other complex industrial applications, to ensure accuracy and completeness of all quotes.
  • Coordinate with Sales, Operations, Production, Engineering, and Procurement to confirm pricing, material availability, and lead times.
  • Verify cost components including materials, labor, overhead, freight, and project-specific requirements to ensure accurate and competitive pricing.
  • Support the preparation of quotations for large-scale, multi-line, or project-based opportunities, including EPC-related bids and customer-specific commercial requirements.
  • Maintain accurate and organized records of all quotes, pricing, and related customer documentation within company systems.
  • Maintain and update pricing databases, quote templates, and product catalogs to reflect current company standards and customer requirements.
  • Collaborate with Inside Sales, Sales Management, and cross-functional teams to resolve outstanding quote or order-related issues.
  • Communicate proactively with customers and internal teams to clarify requirements, resolve discrepancies, and provide updates on quote status.
  • Assist sales with order entry, order changes, and quotation revisions as needed.
  • Ensure all quotations and sales documentation comply with company policies, pricing guidelines, and contractual or customer-specific requirements.
  • Provide support for sales reporting, quote tracking, trend analysis, and margin review as needed.
  • Perform other related duties as assigned.
Skills
  • Strong attention to detail and accuracy in pricing, calculations, and documentation.
  • Advanced organizational and time-management skills with the ability to manage multiple quotes and deadlines simultaneously.
  • Strong analytical and problem-solving skills, particularly in evaluating pricing, cost components, and discrepancies.
  • Effective written and verbal communication skills with the ability to interact across multiple departments and with customers.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven sales environment.
  • Ability to prioritize tasks and adapt to changing customer demands and business needs.
  • Proficiency in Microsoft Office (especially Excel) and ERP/CRM systems.
  • Basic understanding of manufacturing processes, product configurations, and industrial applications preferred.

Education
  • Required: High school diploma, GED, or equivalent.
  • Preferred: Associate’s or Bachelor’s degree in Business, Marketing, or a related field.
Work Experience
  • Required: Minimum of 3 years of experience in a manufacturing or industrial environment supporting sales, quoting, or customer-facing functions.
  • Required: Experience preparing and managing customer quotations, including reviewing specifications, validating pricing, and coordinating with cross-functional teams.
  • Required: Experience working with ERP and/or CRM systems to manage quotes, pricing, and customer data.
  • Preferred: Experience supporting complex, multi-line, or project-based quotations, including EPC (Engineering, Procurement, and Construction) or similar industrial project environments.
Physical Requirements
  • Requires extended periods of sitting and computer use.
  • Occasional walking or movement between departments may be required.
  • Must be able to access and navigate each department at the organization’s facilities.
  • Ability to work in cold, hot and/or dusty environment, with noisy conditions.
  • Ability to lift up to 15 lbs occasionally.
