The Order Fulfillment Coordinator ensures timely and accurate communication between project management, sales, warehouse, and the production team. This position is responsible for monitoring customer order status, generating daily reports from internal systems, and facilitating workflow across departments to support on-time delivery.
Job Duties and Responsibilities
- Provide daily customer order status updates directly to Project Managers.
- Generates and distributes reports on customer orders from internal ERP systems (SL8, Lamons App, SRS) to support order tracking and production planning.
- Assists in tracking back orders to prevent delays in customer orders.
- Act as a liaison between warehouse, production, and shipping department to ensure timely movement of customer orders.
- Communicates order delays, job holds, releases, and material discrepancies to the Sales teams across all Lamons branches.
- Monitors Order Fulfillment progress and escalate concerns or inconsistencies as needed to internal stakeholders.
- Maintains accurate and up-to-date records in ERP systems to support visibility and customer communication.
- Ensures timely follow-up on orders that require additional customer or order information.
- Assists in tracking orders from receipt to delivery to gather information on turnaround time.
- Collaborate with the Manufacturing and Sales teams to ensure KIPs for on-time delivery are met.
- Other duties as assigned.
Skills
- Good understanding of Windows & Microsoft Office software.
- Proficient in ERP systems (SL8, SRS, or similar platforms).
- Strong ability to quickly learn product specifications and service details.
- Strong attention to detail, organizational, and follow-up skills.
- Excellent communication skills and ability to collaborate across departments.
- Comfortable managing multiple priorities in a deadline-driven environment.
- Strong customer service skills.
- Excellent time-management skills; ability to meet deadlines.
Education
- Required: High school diploma, GED, or equivalent.
- Preferred: Microsoft Office Suite certification from an accredited institution.
- Preferred: Associate's degree in Business Administration or related field.
Work Experience
- Required: 1 year of experience in a coordination, production support, or order management role, preferably in the manufacturing, oil & gas, or renewable energy industry.
Physical Requirements
- Visual acuity to process paperwork.
- Prolonged period of sitting at a desk.
- Ability to lift at least 15 lbs. on occasion.
